Safari Bookings: Our Booking Process & How it Works

1. Tell us what you’re thinking

Your trip commences by making an inquiry through our online form. Incorporate extensive information; the greater the quantity, the more advantageous! Information such as travel dates, points of interest, budgetary constraints, and specific demands are essential for our planning. Please note that there is no obligation; we are pleased to address enquiries and share our expertise in the aspiration of crafting your ideal safari experience. We solely obtain commission from the hotels and resorts you elect to reserve.

2. We match you with the right Safari consultant/expert

According to the information you supply, we will connect you with an Africa Safari Expert proficient in your preferred places, experiences, activities, and lodgings. Your Expert will introduce themselves via email within 24 hours (48 hours if it is the weekend) and will seek to understand your and your party’s travel preferences. They will then provide tools to assist you in planning your ideal trip collaboratively.

3. You receive tailor-made African safari ideas

Your Africa Safari Expert will develop personalised itinerary choices for your joint review. You will gain access to a private web portal to view your itineraries and acquire further information regarding the lodges, campgrounds, and proposed activities. Would you prefer to compare a traditional safari with a comprehensive luxury alternative? Perhaps you wish to combine elements to create a new itinerary? Optimal journeys typically emerge from meticulous adjustments until complete satisfaction with the itinerary is achieved.

4. We reserve your space

Upon finalising your desired itinerary, your Africa Safari Expert will secure a provisional reservation for all components of your trip, excluding flights. These remain valid for around two weeks prior to being made available to other awaiting travellers, allowing for potential last-minute modifications. We have observed individuals forfeiting opportunities in their ideal residences, so do not procrastinate excessively!

5. You pay a deposit to confirm your booking

To confirm your holiday, a 30% deposit on the land package (accommodation, transfers, activities, etc.) and full payment for planned flights are required plus gorilla, chimpanzee trekking permits, hot air balloons. Upon receipt of the complete deposit, we will proceed to confirm your holiday with each respective supplier and verify that they possess all pertinent facts of your travel party.

About Payment…

We recognise that security and safety are of utmost significance to you. Consequently, we collaborate with one of the world’s top payment providers, Flywire, PesaPal, enabling us to effortlessly take Visa and Mastercard credit card transactions. We also accept EFT payments, which typically incur lower transaction fees. Upon selecting your preferred payment option, your booking will be updated with the corresponding online payment link.

6. We secure your flights

Many of our safaris include domestic flights between cities or light aircraft transfers, at which point we will seek a copy of your passport at Step 5. Upon receipt, our Flights Team will reserve the flights for 24 hours to prevent price increases or sellouts. During this period, you must pay the entire amount (100%) for your air travel to secure your seats and obtain your tickets.

7. We provide you with all the right info

Upon payment of your deposit, your designated Africa Travel Coordinator, in collaboration with your Africa Safari Expert, will verify the details of your trip’s services (flight numbers, transfer times, etc.) and commence the preparation of your essential travel documents. These encompass useful materials such as packing instructions, visa and medical prerequisites, and comprehensive trip recommendations. Obtaining travel insurance is your responsibility, although we highly advocate for it. We recommend that you promptly consult your physician or the nearest travel clinic to ascertain whether vaccinations or malaria prophylaxis are necessary for your intended destinations, as many immunisations necessitate administration several weeks before to travel. Your Africa Safari Expert will accompany you throughout the preparation for this expedition, ready to address any enquiries you may have.

8. Your balance is due 60 days before your trip

A payment reminder will be issued 1-2 weeks prior to the due date of the balance. You may execute a credit card or EFT payment through the payment link on your personal online itinerary. If you need to reschedule or cancel your trip, whether before or after the 60-day deadline, your Africa Safari Expert will provide advise on the terms and conditions and assist you in resolving the matter.

9. We double-check all the details

Approximately 2-4 weeks before to your travel date, your Africa Travel Coordinator will reconfirm each specific service, ensuring meticulous attention to detail. You will obtain a travel document containing essential information such as flight numbers, transfer schedules, confirmation codes, local supplier emergency contacts, baggage restrictions, gratuity guidelines for each destination, currency conversion policies, and further details.

10. Safari Peace

The day has finally arrived! We have meticulously addressed every element to ensure your relaxation and enjoyment. We offer a direct, 24/7 phone line managed by our Africa Safari Experts to provide support at any moment during your journey.

11. Share your thoughts with us

Upon your return home, your Africa Safari Expert will contact you to get further facts regarding your trip and request your feedback. What aspects did you appreciate and which fell short?
